3 Simple Tips for Catalogue Maintenance

You know that feeling when you organize your closet and it looks perfect! You feel so accomplished because everything looks clean and put together. The shirts are meticulously folded, the hangers are all going in the same direction, and all your shoes are with their match. Everything is in its place.

Well, it looks great for a while, but after a couple days, things start to fall out of order because you’re rushing to work or changing outfits, things get thrown on a chair in a ball, and are never folded. Shoes are suddenly all over the house instead of in their designated space, and the closet you worked so hard to curate suddenly looks like a disaster area.

Well… the same thing can happen with a collection when it’s not maintained, and that’s the last thing we want to happen after all your hard work. So, here are 3 Simple Tips for Catalogue Maintenance.

Keep Your Documentation Organized - If you need to add a piece to your collection, always update the catalogue and any documentation related to the piece accordingly. Same goes if you need to remove an item from your catalogue. Update the new location and any details regarding the move. Note who moved it, why, and how long the item will be at the new location. If an item is donated or sold, DON’T remove it from the catalogue. Simply update the items location in your catalogue stating that the item has been sold or donated. This will serve as a quick visual reference so everyone will know that the item has a new permanent location.

Keep it Consistent - Follow the system. You have an organized catalogue for a reason. If you pull something, update your documentation and PLEASE put it back in the exact same place when you are finished. Always work to maintain your collections integrity. The more consistent you are in following your system, the easier it will be to access pieces when necessary. Following your catalogue will insure that you are able to find the items you are looking for when you need to access them.

Keep it Simple - Don’t try to be fancy. Make sure your system is easy to access and understand. This will make it easy to update. And the easier it is to access and update, the easier it will be for all involved. If executed correctly, your catalogue should be a simple resource that saves an Artist and their team TIME & MONEY.
