Why Digitizing Your Collection is a MAJOR Time & Money Saver!

Here’s a common scenario: a charity reaches out to an Artist and their Team looking for a donation. The typical (and easy) go to is a signed headshot or an album. But what if the Artist has a special affiliation with this charity and wants to give them something extra special, like a tour jacket or an instrument. Does management have access to review and locate these items quickly and remotely?

Unfortunately, the answer is often no. There is no catalogue to quickly reference, and retrieving these items can become a mad scramble at the storage facility, with an Artist’s Team looking through boxes upon boxes at the 11th hour.

How do we know this? Because we’ve experienced this situation more than once. The scary thing is, is that even after expending all of the time, effort, and resources to find said item - the item is sometimes still not found. This search party is both a time and financial drain on the Artist’s Team who should be spending this time working on other important Artist goals. A catalogued collection eliminates this scenario, and allows items to be reviewed, located, and retrieved in a time efficient manner.

Another important thing to point out is the financial savings. There are so many! 1). It saves (paid) time of Artist team members locating and accessing items. 2). It saves time retrieving items from the correct location. Some items are located in facilities that are not local, and can require extensive travel to access. This become costly when items are not in their designated location. 3). Access fees. Yes, many facilities charge fees to access their facility and retrieve items from storage. When an item is catalogued and can be easily retrieved, this can save a lot of money. 4). Donations. If you are able to retrieve and donate an item that has been appraised for a specific value, these donations can be very valuable and used for tax purposes.

So when the time comes to catalogue and digitize your collection, do it. One of the biggest benefits or an organized collection is the digital element. Being able to remotely access and review your collection at a moment’s notice is an incredibly valuable tool to an Artist and their Team.
